Tips for Planning Your Own Hope Travels Event

One of the things we love most about our annual Hope Travels 5K is that the event allows virtual participation from anywhere.

Why not plan a Hope Travels event of your own? Here are a few tips.

Five current and former Help Hope Live supporters gather in front of the Bryn Mawr Racing Co finish line at Hope Travels 2024. From left to right: Barrett Brooks, who has brown skin and a short black and gray goatee, former Executive Director Lynne Samson, who has light skin with gray hair and glasses, board member Ron Siggs, who has light skin, short white hair, and a Hope Travels teal t-shirt, founding volunteer Chris Kanter, who has light skin and shoulder-length dark hair, and current Executive Director Kelly L Green, who has light skin, dark hair, sunglasses, and a rainbow tutu.

Step one: Let us know about it!

We’d love to help support your Hope Travels event from afar. Your first step is to loop us in—email Brooke at [email protected] and tell us what you’re planning

Step two: Consider these details.

In-person or virtual? You will want to rally friends, family members, and co-workers to join your Hope Travels event. You can decide whether you want to plan an in-person Hope Travels event or invite friends to participate their way from anywhere virtually.

When? You can hold your Hope Travels event on the same day as our in-person event—May 18—or on any other day that works best for you. You can even encourage friends to reach a certain goal together with May 18 as a “deadline” for reaching the goal, such as hitting a fundraising total together or reaching a certain number of steps or miles as a group!

Where? Have you attended a 5K or mile-walk event locally? Brainstorm some local locations where an in-person event might work well. If you’re planning to hold your event in a public space, reach out to the venues directly or to your local Chamber of Commerce or Recreation & Parks government office to see if you need a permit.

Sponsors? Do you know any local businesses that might be interested in sponsoring your Hope Travels event? They can make their tax-deductible donation directly to Help Hope Live. Get in touch with us and we’ll help you set things in motion if you have sponsors in mind for your event!

Route? You will want to put together a safe and fun 5K route for your runners and participants. If you’re new to the process of planning a 5K, reach out to a local running club and see if they’re willing to help you plan a suitable route.

Volunteers? You’ll need some backup to coordinate your in-person event, so be sure to ask around and see if friends, family members, co-workers, and neighbors are willing to pledge their time to a good cause with you before or during your event. Since Help Hope Live is a charity, they can use the time to meet service hours or volunteering requirements—their workplace may even have a program to donate to Help Hope Live based on the hours they volunteer!

Accessible? Take a moment to think about whether your Hope Travels event will be accessible to folks who use mobility devices, wheelchairs, or power chairs. You’ll want to make sure there are safe options for everyone to participate, not just runners and walkers.

Step three: Set up a fundraising page.

Use our instructions earlier in this toolkit to set up your Hope Travels fundraising page. Your friends can fundraise alongside you!

Join supporters like Casey and Jordan – fundraise from anywhere for Hope Travels!

Step four: Get creative with some of these ideas!

  • Set a Hope Travels exercise goal for yourself and share it with your community—they can donate to show their support, and you’ll go for your goal while they sit on the couch!
  • Ask a fitness-lover you know to host a free virtual or in-person fitness class. Supporters can donate to your Hope Travels fundraiser before or after they tune in! Ask local gyms, indoor rock-climbing centers, yoga studios, Zumba classes, and other businesses.
  • Invite your supporters to pick a unique Hope Travels activity that appeals to them: instead of walking or running, they could hike, roll, dance, bike, swim, or something else!
  • See if a local fitness trainer can put together a “Hope Travels Bootcamp” with suggested activities and pacing. Supporters can donate to get access to the Bootcamp instructions and participate together (from anywhere) on your Hope Travels day!
  • For families, organize a baby crawl-a-thon or a play-a-thon.
  • Pair your Hope Travels plans with an existing community event. Is there a spring egg hunt in a local park? See if you can reach out to the organizers to turn the event into a Hope Travels fundraiser!
  • Pets welcome! Challenge supporters to walk their furry friends a set distance—and of course, cute pet photos are a must for social sharing!
  • Plan a dance-a-thon, dance party, or virtual/Zoom dance party.
  • Love the water? Plan a kayaking trip, a pool noodle fight, or a swim race (or you can count laps or time spent in the pool overall). Or stay slightly more dry with a giant water balloon battle!
  • Get the kids moving with some classic fun. How about tag or freeze tag, hide-and-seek, laser tag, or dodgeball?
  • Add a little mystery and excitement to the mix with a geocaching event or a scavenger hunt.
  • If kids in your community are active with school sports, chat with local schools and engage student teams to sign up for a sports shoot-out or dribbling drills for soccer, basketball, or any other sport. Or ask the local crew teams about a row-a-thon!
  • Get your community involved in a new activity! Whether it’s a spin-a-thon, Zumba, yoga (goats optional), aerobics, or a scooter race, consider rounding up friends and neighbors to try something brand-new together. Can you say, block party of the year?
  • Got any board game fans or gamers in your circle? Plan a giant game of chess, Chutes and Ladders, checkers, Candyland, or Twister!
  • Keep everyone laughing and encouraged by putting a silly spin on a traditional race or activity. How about a Snail’s Pace Race: whoever moves the slowest wins!
  • Plan an outdoor Field Day for kids or adults. Three-legged races, egg-and-spoon relays, or potato sack races are classic favorites.
  • Plan a wheelchair workout – get inspired by our virtual fitness sessions!
  • Get kids moving or bring out the kid within with a Zombies vs. Humans game, a giant pillow fight, or a Live-Action Roleplay (LARP) event!
